How Do You Book a Meeting on Behalf of Someone Else?

When to Use It #

Booking on behalf is for the moment a customer is already on the phone and you want to place the meeting immediately rather than sending a link and hoping they return to it.

Creating the Booking #

From Bookings, choose New booking. Select the event type, pick a slot from live availability, and enter the invitee’s name and email. Required booking questions still appear and must be answered, so you can capture the same context you would have collected online.

Overriding Availability #

Hosts with the appropriate permission can enable Ignore availability rules, which allows scheduling outside working hours or inside a buffer. Genuine calendar conflicts are still surfaced as a warning that must be acknowledged, so a true double booking is always a deliberate act.

What the Invitee Receives #

The invitee gets the standard confirmation email with reschedule and cancel links, exactly as if they had booked themselves. Bookings created this way are flagged internally as host-created, which keeps conversion analytics honest by separating them from self-service bookings.

Delegated Access #

An assistant can be granted scheduling access to another user’s event types from Settings → Team → Delegated access. The delegate sees availability and creates bookings but cannot change event type configuration or availability schedules unless separately permissioned.
