How Intersection Works #
A collective event type requires every listed host to attend, so MixCalendar intersects their availability. A slot is offered only when all hosts are free after each host’s own buffers and calendar conflicts are applied.
Managing Scarcity #
Intersections shrink quickly. Four hosts with moderately busy calendars often produce only a handful of weekly slots. Practical countermeasures:
- Keep the panel to three or four required hosts and make the rest optional.
- Assign a dedicated interview availability schedule that is wider than each host’s default hours.
- Reduce buffers on the interview event type specifically.
- Extend the booking window so candidates can reach further into the future.
Optional Hosts #
Optional hosts are invited to the meeting but excluded from the availability intersection. Slot generation ignores their calendars entirely, which keeps availability workable while still notifying them.
Notifications #
Every host receives the calendar invitation and, if configured, reminder emails. Candidate answers to booking questions are included in the event description so interviewers arrive with context.
When a Host Is Unavailable #
If a required host cancels their attendance, the booking remains but is flagged as incomplete on the dashboard so an admin can reassign or reschedule rather than discovering the gap on the day.
